Summer Camp Terms & Conditions

1. Booking Agreement
By booking a place in our summer camp, you enter into an agreement with YMS Croydon. This agreement becomes effective upon receipt of any payment (full or partial) and is governed by these terms.
2. Deposit Policy
A non-refundable deposit is required to secure your booking.
Deposits cannot be refunded or transferred under any circumstances.
They are not transferable to other programmes or individuals.
3. Payment Terms
Full balance must be paid by the deadline communicated at booking.
Late payment may result in the loss of your booking and deposit.
4. Cancellations and Refunds
Participant cancellation: Deposit is non-refundable. Refunds on remaining fees are discretionary and based on timing.
Provider cancellation: In the unlikely event YMS Croydon cancels the camp, all fees (including deposits) will be refunded.
5. Amendments to Bookings
Changes to dates or details must be requested in writing and are subject to availability and possible fees.
Bookings are non-transferable to other term-time activities or another student.
6. Programme and Activity Amendments
Activities may change due to operational or weather-related factors.
Specialist activities and transport options depend on minimum numbers.
For significant changes, YMS Croydon will email with notification of any activity swap with as much notice as possible.
7. Camp Location
The camp will take place at multiple venues, with our morning drop-off and afternoon pick-up meeting points being at Trinity School, Croydon. YMS Croydon reserves the right to change the location due to unforeseen circumstances, or if an alternative drop-off or collection point is more convenient on a trip day. Any alternative venue will be within a reasonable distance. Notice will be given with ahead of the week in your welcome pack.
8. Special Requirements
The parent/guardian is responsible for notifying us of any medical conditions, additional needs, or disabilities in advance. YMS Croydon may decline a booking if appropriate support and provisions cannot be provided safely.
9. Insurance
YMS Croydon holds public liability insurance. We are not responsible for loss or damage to personal belongings brought to camp.
10. Health and Safety
All participants must follow staff instructions and health and safety guidelines. Failure to comply may result in removal from the camp without a refund.
11. Code of Conduct
Children are expected to behave respectfully and cooperatively. We reserve the right to dismiss any participant for disruptive or unsafe behaviour without refund.
12. Uncollected Children
Children must be collected promptly at the end of the day. Persistent lateness may incur additional fees or exclusion from the programme.
13. Media Consent
Photos and videos may be taken during camp for promotional use. Please notify us in writing before camp if you do not consent to this.
14. Data Protection
Personal data is handled in accordance with GDPR and used only for booking, safety, and communication purposes. It will not be shared externally except where legally required.
15. Force Majeure
We are not liable for delays or cancellations due to events beyond our control (e.g. extreme weather, public health emergencies, venue complications). No refunds are guaranteed in these cases, though we will offer suitable alternatives where possible.
